Job Description
The Partnerships Engagement Associate will play a crucial role in supporting the AHAIC 2027 Partnerships team across the entire partner engagement lifecycle. This involves providing assistance with sponsorship follow-up activities, managing routine correspondence with partners, facilitating the onboarding process for new partners, and coordinating the delivery of agreed-upon outcomes. Additionally, the associate will be responsible for collaborating with the Professional Conference Organizer (PCO) and various internal workstreams to ensure that all partner requirements are accurately documented, communicated, and successfully fulfilled. Strategic relationship management, negotiation processes, and the final approval of official partner communications will remain under the purview of the Partnerships leadership.
Key Responsibilities
- Support outreach and follow-up with prospective sponsors and partners under team guidance.
- Draft partner correspondence, meeting briefs, follow-up communications, sponsorship proposals, and presentations for review.
- Coordinate partner meetings, prepare supporting documents, and track agreed actions.
- Cultivate and steward prospective partners throughout the sponsorship and engagement process.
- Maintain a tracker of sponsorship benefits, deliverables, key deadlines, and progress for assigned partners.
- Coordinate with various internal teams (Partnerships, PCO, Programme, Events, Communications, Finance, session leads) to facilitate the delivery of agreed partner benefits, including registrations, speaking opportunities, sponsored sessions, exhibition space, branding, media engagement, and networking.
- Assist partners with session planning requirements, such as session descriptions, speaker information, biographies, photographs, and technical needs.
- Ensure partner and session information is accurately reflected on the AHAIC website, programme, and conference materials.
- Monitor progress against deliverables, maintain records, and follow up on outstanding requirements.
- Escalate delivery risks or unresolved issues to the Partnerships team.
- Serve as a primary point of contact for assigned partners during the conference, addressing needs and ensuring a positive experience.
- Coordinate with PCO, Programme, Events, Communications, and session leads for successful delivery of partner requirements.
- Verify adequate support for partner sessions, including technical, logistical, and reporting needs.
- Monitor sponsorship benefit delivery during the conference and escalate issues.
- Ensure accurate display of partner branding, profiles, and session information.
- Coordinate responses to partner requests for conference outputs like photographs, presentations, recordings, and reports.
- Document sponsorship benefit delivery, partner feedback, engagement outcomes, and outstanding commitments.
- Update partnership records, contribute to the post-conference report, and prepare a clear handover of outstanding actions.
- Ensure sponsorship pipeline and partner records are accurate and regularly updated.
- Prepare and complete partner correspondence and follow-up actions within agreed timelines.
- Efficiently onboard confirmed partners, tracking agreements, invoices, registrations, and required materials.
- Accurately document and communicate partner requirements and sponsorship benefits to responsible teams.
- Monitor and deliver agreed sponsorship benefits, promptly flagging gaps for resolution.
- Ensure partner information is accurately reflected on the AHAIC website, programme, and conference materials.
- Complete or formally hand over immediate post-conference partner materials, records, and outstanding actions before contract end.
Requirements
- Bachelor’s degree in business administration, marketing, communications, international relations, public health, development studies, or a related field.
- At least one to two years of relevant experience in partnerships, fundraising, sponsorship, stakeholder engagement, business development, account support, or event coordination.
- Experience supporting conferences, high-level events, or multi-stakeholder initiatives is an advantage.
- Experience engaging with corporate partners, foundations, development partners, or international organizations is desirable.
- Experience maintaining trackers, databases, or systems for managing stakeholder information and deliverables.
- Excellent relationship-building, networking, and stakeholder-engagement skills.
- Strong written and verbal communication skills.
- Good organizational and time-management skills with strong attention to detail.
- Ability to accurately capture, organize, and manage partner information.
- Ability to manage multiple assignments, follow-up actions, and deadlines.
- Professional presence and confidence when engaging with external stakeholders.
- Ability to work independently, follow instructions, and collaborate effectively within a team.
- Good judgment and ability to flag and escalate issues appropriately.
- Ability to work calmly and practically in a fast-paced conference environment.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
- Fluency in English is required; working knowledge of French is an added advantage.
