Job Description

The Accounts Payable Assistant will be responsible for managing all accounts payable processes, including the accurate capture and timely payment of supplier invoices. The role also involves ensuring compliance with financial SOPs, supporting internal and external audits, and assisting with various finance department projects and trainings. Daily tasks include reconciling supplier accounts, resolving disputes, and maintaining an organized filing system for all vendor invoices.

Key Responsibilities

  1. Comply with all relevant finance and general Standard Operating Procedures (SOPs).
  2. Provide support during internal and external audit processes.
  3. Accurately capture all supplier invoices in SAP and ensure they are matched with corresponding Purchase Orders (PO).
  4. Post all supplier payments accurately and ensure they are processed on time.
  5. Verify that all vendor invoices are compliant with eTIMS regulations.
  6. Obtain necessary departmental head approvals for all invoices before posting.
  7. Ensure that all suppliers are paid according to the agreed terms.
  8. Reconcile all supplier accounts regularly and resolve any disputes that may arise.
  9. File all vendor invoices (both before and after payments) daily in alphabetically labelled files, along with all associated reconciliations.
  10. Support training initiatives and special projects within the finance department.

Requirements

  1. Hold a Bachelor’s Degree in Commerce, Finance, Administration, or Business Management.
  2. Semi-Qualified accountant (CPA / ACCA) is preferred.
  3. Possess a minimum of 2 years of relevant experience in accounts payable or a similar finance role.
  4. Demonstrated experience working with Enterprise Resource Planning (ERP) systems, such as SAP.
  5. Proficient in IT and Excel skills.
  6. Exhibit strong verbal and written communication skills, along with excellent telephonic communication abilities.
  7. Possess effective negotiation and administrative skills.
  8. Demonstrate initiative by taking action beyond what is explicitly required to achieve goals.
  9. Possess excellent organizational and time-management skills, including planning and monitoring.
  10. Capable of working collaboratively with other team members to achieve common objectives.
  11. Consistently meet established standards for work performance.
  12. Actively participate and show interest in achieving the overall business objectives.
