The Factory Logistics Manager is responsible for ensuring that all logistics processes and systems, particularly SAP, comply with internal and external controls and statutory requirements for both domestic and export markets. This role is increasingly vital as the company operates as an export hub and relies heavily on third-party logistics providers (3PLs). The manager will oversee 3PLs to guarantee on-time and in-full product delivery, coordinating closely with the Customer Facing Team (CFT) and the factory. The position requires adherence to best practices, industry standards, BAT standards, and all relevant local and international regulations. Regular review of risk management and business continuity plans is essential due to the growing complexity of the logistics network.
Key Responsibilities
- Ensure all logistics processes and systems comply with internal and external controls, statutory requirements, BAT best practices, and industry norms.
- Act as the custodian for logistics systems usage, maintaining their integrity, especially with increased reliance on third parties, covering SAP, global freight compliance, SAP WMS, records management, and EH&S.
- Manage logistics costs within budget and strive for unit cost reduction through continuous improvement and innovation.
- Maintain the integrity of logistics processes, systems, and products to ensure customer satisfaction.
- Conduct regular assessments of logistics risks and implement necessary mitigating and corrective measures, collaborating with stakeholders to develop and maintain an up-to-date supply chain risk register and contingency plan.
- Provide expert advice and solutions on logistics standards to other BAT operations, functions, or partners like distributors.
- Inform stakeholders about changes in local and international regulations concerning cross-border product movements and advise on regional port status (e.g., congestion, piracy).
- Ensure robust system and process controls are in place within logistics.
- Facilitate seamless leaf and materials supply to the Nairobi factory in coordination with GLP and SNO.
- Drive a culture of absolute control over logistics processes with effective preventive and corrective measures.
- Lead engagement with all internal and external bodies regarding logistics compliance.
- Foster a culture of trust, partnership, and collaboration with 3PLs.
- Lead projects and cross-functional teams as required.
- Provide training, development, and coaching to the team for growth.
- Manage and maintain all processes and procedures for efficient and secure storage, movement, and delivery of BAT products to customers, including product returns and recalls.
- Ensure efficient fleet management and transport plan execution for timely product delivery.
- Guarantee timely and accurate communication of shipments and corresponding documents through regular tracking, advising CFT accordingly.
- Operate as part of an integrated management team, delivering results, escalating issues, and actively participating in meetings.
- Manage all BAT on-site and off-site warehouses and inventories, ensuring product integrity and inventory accuracy.
- Ensure appropriate insurance coverage for all goods movement and storage, and effective processing of claims.
- Conduct regular aging analysis of BAT stocks, providing recommendations on obsolescence and damaged stocks.
- Ensure safe and secure destruction of approved obsolescence responsibly, providing destruction reports with necessary evidence.
- Manage relationships and collaboration with 3PL service providers to achieve business results through teamwork and partnerships.
- Maintain and issue the Logistics KPI dashboard and performance reviews with continuous improvement plans.
- Ensure all records are maintained and provided according to BAT best practice and local regulations.
- Ensure annual rolling leaf supply forecast is submitted to GLP monthly.
- Track leaf shipments monthly, flagging risks of out-of-stock or overstocked situations to the business promptly.
- Ensure timely application and closure of Inward Processing Facility with monthly tracking and reconciliations.
- Drive relationships with key internal and external stakeholders locally and regionally.
- Build and maintain excellent relationships with 3PLs and subcontractors who are the frontline contact with end customers.
- Maintain excellent relationships with in-house and external logistics experts/consultants to support and implement best practices, such as network design review.
- Develop an environment that fosters continuous improvement and sharing of best practice ideas from within BAT and externally.
- Identify and apply leading-edge developments in logistics as appropriate (e.g., ECTS, AEO).
- Challenge the status quo and promote innovation through 3PLs, managing a gain-share mechanism to foster continuous improvement and change.
- Contribute to the Kenya & Export Markets ESG agenda for sustainable growth.
Requirements
- Degree in Commerce, Business, Finance, Engineering, or any other STEM-related field.
- Minimum of 5 years’ experience in Supply Chain, specifically in Logistics (Inbound, Outbound, and Warehousing).
- Minimum of 5 years’ experience in running continuous improvement programs such as Supply Chain Excellence or Integrated Work Systems (IWS).
- Strong interpersonal skills, including effective communication and influencing abilities.
- High level of personal responsibility and drive for results.
- Proven ability to act as a change catalyst, initiating and driving business change.
- Strong interpersonal collaboration and influencing skills with internal and external stakeholders.
