Job Description

The Payroll Compliance Analyst is responsible for conducting regular compliance tests across KCB Group Payrolls to ensure adherence to tax, regulatory, policy, and process requirements, recommending corrective actions as needed. This role involves performing monthly Payroll-to-GL reconciliations for Kenyan businesses and overseeing similar compliance for international businesses. A key aspect is proactively managing Group Payroll risks by ensuring timely reconciliation and remittance of statutory deductions. The analyst also ensures proper funding of the Bank’s Retirement Schemes, reconciles payroll suspense and control accounts, and coordinates with IT and vendors for system changes. Additionally, the role supports internal and external audits, prepares compliance reports, manages relationships with statutory authorities, maintains process maps and risk registers, ensures correct posting of payroll costs, and conducts periodic reviews of payroll system user access.

Key Responsibilities

  1. Conduct regular compliance tests on Group Payrolls to ensure adherence to tax, regulatory, policy, and process requirements, recommending necessary corrective actions.
  2. Perform monthly Payroll-to-GL reconciliations for Kenya Businesses and oversee compliance for International Businesses.
  3. Proactively manage Group Payroll risks by ensuring timely reconciliation and remittance of all statutory deductions.
  4. Ensure the Bank’s Retirement Schemes are funded according to their respective rules.
  5. Reconcile Group payroll suspense and control accounts, ensuring compliance with the Group Suspense Accounts Policy and timely resolution of outstanding items.
  6. Coordinate with internal IT and payroll system vendors to implement approved Payroll System and Banking interface changes, ensuring proper testing, efficiency, and controls.
  7. Support internal and external audits by providing required payroll data and preparing regular compliance and payroll reports for management.
  8. Manage relationships with statutory authorities, payroll system vendors, and other relevant stakeholders on payroll compliance and system matters.
  9. Maintain updated departmental process maps and risk registers, submitting monthly Ethics and Compliance self-assessment reports to Group Risk.
  10. Ensure all payroll costs are correctly posted to the respective General Ledgers before month-end.
  11. Conduct periodic reviews of payroll system user access to ensure privileges align with the approved role matrix.

Requirements

  1. Bachelor’s degree from a recognized university.
  2. Professional qualifications in accounting, payroll, or tax are an advantage.
  3. At least four years of relevant work experience in a similar-sized organization.
  4. Specific experience includes 4 years in payroll administration and processing, 3 years in payroll compliance, taxation, and statutory requirements, 3 years in advanced Excel, data manipulation tools, and analysis, 3 years using payroll and finance systems, 3 years in payroll or GL reconciliation, 3 years in stakeholder and relationship management, and 3 years in risk and compliance.
  5. Experience with labor laws and employment regulations.
  6. Strong analytical skills and attention to detail.
  7. Ability to maintain the highest level of confidentiality and employee data privacy control.
  8. Problem-solving skills.
  9. High ethical standards.
  10. Good verbal and written communication skills.
