Tetra Pak (Kenya) Ltd. is seeking a Project Coordinator to be based in Nairobi, reporting to the Projects Coordination Leader. This position is crucial for overseeing the commercial and administrative facets of projects, with SAP R3 serving as the main operational tool. Key to success in this role is proactive and timely communication with project managers, suppliers, customers, logistics companies, and the finance team across multiple locations. The coordinator will also provide support to the Project Manager for project control, manage the commercial aspects of contracts, and ensure that project requirements are consistently met. Responsibilities extend to ensuring process compliance, handling month-end accounting activities for projects, and managing project cost and revenue accounting.
Key Responsibilities
- Prepare transport documentation.
- Manage the flow of documentation, including bills of lading, packing lists, commercial invoices, certificates of origin, and licenses.
- Coordinate the shipment of project cargo.
- Oversee the collection and delivery process, managing it through to the final destination.
- Prepare commercial documents, handle document legalization, and manage Letters of Credit.
- Issue purchase orders and manage logistics to transport goods from suppliers to end customers.
- Create sales orders, invoices, and other necessary documents for goods and services in compliance with local legislation.
- Process material movement and service receipts within SAP.
- Coordinate effectively with the project team, market companies, and customers.
- Support the Project Manager in project control activities.
- Lead and manage the commercial aspects of contracts and projects.
- Understand business scenarios and ensure project requirements are consistently fulfilled.
- Ensure adherence to processes and complete month-end accounting activities for projects.
- Manage project cost and revenue accounting.
Requirements
- University Degree or specialization in Supply Chain Management or a Logistics background.
- Proficiency in English language.
- Good knowledge of shipping documentation and Letter of Origin handling specific to the region.
- Strong understanding and practical knowledge of contract accounting, purchase orders, and logistics.
- At least 2 years of experience in a relevant field.
- Knowledge of SAP is an advantage.
- Good planning skills.
- Demonstrated drive and initiative.
- Ability to work both independently and as part of a team.
- Capacity to perform effectively under pressure.
- Systematic, meticulous, and detail-oriented approach.
- Strong interpersonal and communication skills.
- Customer-oriented mindset.
- Ability to be flexible and structured simultaneously.
- 2+ years of sea freight experience is essential.
- Experience dealing with both imports and exports is beneficial.
- Knowledge of customs regulations is desirable.
