Job Description

This role is crucial for ensuring accurate and timely financial operations within KCDF. The successful candidate will be responsible for maintaining comprehensive accounting records, managing various financial transactions, and preparing detailed reports on all financial activities. Key areas of focus include financial, property, and endowment fund accounting, general financial management, and grants management and compliance. The role involves ensuring adherence to financial standards, organizational policies, and donor guidelines across all financial processes.

Key Responsibilities

  1. Maintain accurate accounting records and process financial transactions in compliance with IFRS and internal policies.
  2. Manage general ledger accounts, fixed asset registers, depreciation schedules, and commercial property accounting records.
  3. Monitor rental income, tenant deposits, arrears, and property expenses, ensuring compliance with tax and regulatory requirements.
  4. Coordinate with property managers to support accurate financial reporting.
  5. Maintain endowment fund financial records, ownership registers, and contribution schedules.
  6. Record investment income, expenses, and payouts, processing approved drawdowns and payment instructions.
  7. Reconcile fund contributions and coordinate with administrators, custodians, and other service providers for accurate reporting.
  8. Perform regular bank, ledger, investment, and rent collection reconciliations.
  9. Validate payment requests against approved budgets, organizational policies, and donor guidelines.
  10. Confirm that expenditures are eligible and supported by proper documentation.
  11. Manage petty cash funds, ensuring appropriate use within set limits.
  12. Assist with month-end closing procedures and reconciliations.
  13. Reconcile accounts ledger to ensure accuracy and completeness.
  14. Assist in the preparation for project and institutional audits, including documentation and data collection.
  15. Ensure all financial documents are periodically archived in line with the document retention policy.
  16. Compile comprehensive, accurate financial reports for funders, aligned with donor policies and guidelines.
  17. Participate in the budget development process for various projects and grants.
  18. Review grantee financial reports for compliance with donor guidelines and organizational policies.
  19. Offer guidance, support, and training to grantees on best practices in financial reporting, compliance, and accounting.
  20. Regularly visit grant-funded projects to verify compliance, assess progress, and provide on-site support.
  21. Perform any other duties as assigned by management.

Requirements

  1. Hold a Bachelor’s degree in Accounting, Finance, or a related field.
  2. Possess a CPA (K) qualification.
  3. Have a minimum of five (5) years of experience in a similar role or equivalent.
  4. Demonstrate proficiency in accounting principles, standards, and practices.
  5. Be familiar with accounting software, preferably Microsoft Dynamics
  6. Understand regulatory and donor-specific reporting requirements.
  7. Possess strong skills in budget creation, analysis, and monitoring.
  8. Have knowledge of internal and external auditing processes.
  9. Be able to manage statutory returns and tax payments.
  10. Understand grant accounting and compliance.
  11. Be skilled in analyzing financial data to identify trends and insights.
  12. Be able to explain financial concepts clearly to non-finance team members.
  13. Demonstrate effective prioritization and organization of tasks.
  14. Be capable of handling multiple responsibilities and meeting deadlines.
  15. Uphold high ethical standards and adhere to financial regulations.
  16. Be able to work effectively with cross-functional teams.
