Job Description

This role involves daily review of SAP data postings for issues, receipts, and transfers, providing feedback for corrections. The supervisor will also review daily physical counts, follow up on warehouse shorts and excesses, and conduct monthly stock takes. Key responsibilities include daily physical vs. system reconciliation for beer, Keg UDV, and reconciliation of receipts from trade dispatches, inter-warehouse transfers, and reversals. The role also entails reconciling Kisumu breakages, developing weekly and monthly breakage reports, and presenting inventory status in weekly meetings. The supervisor will conduct stock takes for Kisumu Beer, Keg, UDV Empties, obtain approvals, and post in SAP, escalating and explaining variances daily. Guidance to SAP Data clerks on system reversals is also a part of the role. Additionally, the supervisor participates in safety trainings, reports incidents, supports a safety culture, ensures timely reporting of KPIs, manages and trains data clerks, maintains good relationships with stakeholders, and handles warehouse documentation and archiving.

Key Responsibilities

  1. Daily review of SAP data postings (issues, receipts, transfers) and provide feedback for corrections.
  2. Daily review of physical daily counts and provide feedback to physical inventory supervisors.
  3. Follow up on warehouse shorts and excesses reported in daily counts and execute monthly stock takes.
  4. Perform daily physical vs. system reconciliation for beer, Keg UDV, and reconcile receipts from trade dispatches, inter-warehouse transfers, and reversals.
  5. Reconcile breakages for Kisumu and develop weekly/monthly breakage reports with reason codes and responsible partners.
  6. Report and present inventory status weekly in contact review, HOD, and inventory meetings.
  7. Conduct Kisumu Beer, Keg, UDV Empties stock take, request approval, and post in SAP.
  8. Escalate and obtain daily variance explanations for Kisumu and follow up on closure of all reported variances.
  9. Provide guidance to SAP Data clerks on all system reversals.
  10. Participate in regular safety trainings, toolbox talks, emergency drills, and walkabouts.
  11. Immediately report all near misses and incidents within the work area.
  12. Timely and accurate reporting of any unsafe acts and conditions.
  13. Support a culture of safety in the team by adhering to proactive safety measures.
  14. Ensure timely and accurate circulation of daily reports.
  15. Ensure accurate and timely daily KPI reporting.
  16. Manage people and provide continuous training to Data clerks on Standard Operating Procedures (SOP).
  17. Maintain good working relationships with AGL, KBL, POL, Security, and Transporters.
  18. Continuously engage with the Site Manager, Operations Manager, Clerks, and warehouse attendants.
  19. Archive warehouse documents as per SOP.
  20. Maintain a daily stock register.
  21. Receive and file warehouse receipts and issuing reports.
  22. Carry out all delegated tasks from Operations Controller, relevant Inbound/Outbound Controller, Operations Manager, Clerks, and warehouse attendants.

Requirements

  1. Business Degree in Finance/Accounting or Operations/Supply Chain Management.
  2. Professional Certification in CPA/ACCA/APICS/CIPS is an added advantage.
  3. At least 3 years of experience in External/Internal Audit, Supply Chain/Operations/Inventory Management, or Risk/Governance/Compliance Management.
