Job Description

This role is crucial for overseeing the day-to-day operations of site facilities and associated support services, such as office cleaning, catering, and contractor management. The Facilities Executive is responsible for upholding high standards of service delivery, ensuring continuous operational functionality, maintaining safety protocols, and adhering to all regulatory requirements. The position involves managing various aspects of facility operations to ensure a safe, functional, and compliant environment, minimizing disruptions, and supporting company events.

Key Responsibilities

  1. Manage daily facility operations, including buildings and site services.
  2. Ensure all facilities are maintained in a safe, functional, and compliant condition.
  3. Coordinate planned and reactive maintenance activities to minimize disruptions.
  4. Monitor service levels for outsourced services like cleaning, security, pest control, and landscaping.
  5. Ensure timely resolution of facility-related issues reported by users.
  6. Track and address daily complaints from facility users.
  7. Conduct daily Gemba walks to identify areas needing focus.
  8. Prepare weekly facilities reports, highlighting key performance indicators and focus areas.
  9. Drive accountability among contractors through structured performance management.
  10. Utilize data-driven decision-making to optimize facility costs and reliability.
  11. Maintain a zero-tolerance approach to safety and compliance breaches.
  12. Demonstrate personal excellence aligned with BAT values and HPO principles, supporting teamwork and self-development.
  13. Demand discipline from self and others to raise standards and achieve stretch results.
  14. Actively participate in gap analysis and troubleshooting using IWS problem-solving tools.
  15. Manage third-party service providers, ensuring adherence to SLAs and contracts.
  16. Perform supplier performance evaluations and reviews, driving corrective actions as needed.
  17. Support procurement in vendor selection, contract negotiations, and renewals.
  18. Ensure contractor compliance with safety, legal, and site requirements.
  19. Ensure timely issuance of Purchase Orders, service requests, and Goods Received Notes (GRNs).
  20. Track vendor/supplier payments to prevent overdue invoices.
  21. Train contractors on work procedures and continuous improvement tools.
  22. Ensure all facilities operations comply with EHS standards and statutory regulations.
  23. Conduct regular safety inspections, audits, and risk assessments for facilities.
  24. Drive compliance with fire safety, building codes, and occupational health requirements.
  25. Support incident investigations related to facilities and implement corrective actions.
  26. Support the setup of company events, including operations, marketing, and high-profile visits.
  27. Monitor and control facilities-related operational expenditure (OPEX) within approved budgets.
  28. Identify and implement cost-saving initiatives without compromising service quality.
  29. Track consumables and spares consumption trends to support efficiency improvements.
  30. Support CAPEX planning and execution for facilities upgrades and improvements.
  31. Maintain an updated asset register for facilities and ensure lifecycle management.
  32. Ensure preventive maintenance programs are in place and adhered to.
  33. Support infrastructure upgrades, refurbishments, and minor projects.
  34. Drive continuous improvement of facilities reliability and performance.
  35. Act as the primary point of contact for all facilities-related matters on site.
  36. Collaborate with internal departments to ensure facilities support operational needs.
  37. Communicate service performance, issues, and improvement actions to stakeholders.
  38. Maintain good relationships with external stakeholders like local authorities and contractors.
  39. Drive the implementation of best practices in facilities management.
  40. Support the development and enforcement of Standard Operating Procedures (SOPs), policies, and controls.
  41. Monitor Key Performance Indicators (KPIs) and report on facilities performance metrics.
  42. Contribute to digitalization and efficiency initiatives in facilities management.
  43. Periodically review SOPs to maintain a robust control environment.

Requirements

  1. Bachelor's degree in a STEM-related field such as Engineering, Facilities Management, or Spatial Planning.
  2. Knowledge of Integrated Work Systems (IWS) methodology.
  3. Proven experience in facilities or operations management.
  4. Experience managing contractors and service providers.
  5. Strong understanding of Environmental, Health, and Safety (EHS) and regulatory requirements.
  6. Excellent interpersonal, communication, and influencing skills.
  7. Strong operational and problem-solving skills, aligned with IWS methodology.
  8. Proficiency in vendor and contract management.
  9. Awareness of financial and cost control principles.
  10. Strong planning and organizational skills.
  11. A continuous improvement mindset.
  12. Ability to engage effectively with stakeholders and collaborate across functions.
  13. Strong communication skills with the ability to influence at all levels.
  14. Demonstrated strong ownership and accountability.
