Job Description
As a Payroll Compliance Analyst at KCB Bank Kenya, you will be responsible for maintaining the integrity and compliance of all group payroll operations. This involves conducting regular compliance tests to ensure adherence to tax, regulatory, policy, and internal process standards, and recommending necessary corrective actions. A key aspect of the role is performing monthly Payroll-to-GL reconciliations for Kenyan businesses and overseeing similar compliance for international operations. You will proactively manage payroll-related risks by ensuring all statutory deductions are accurately reconciled and remitted within stipulated timelines, and that the Bank’s Retirement Schemes are properly funded. The role also requires reconciling group payroll suspense and control accounts, coordinating with IT and vendors for system changes, and supporting internal and external audits by providing data and preparing compliance reports. You will manage relationships with statutory authorities and vendors, maintain process maps and risk registers, and ensure accurate posting of payroll costs to general ledgers, alongside periodic reviews of payroll system user access.
Key Responsibilities
- Conduct regular compliance tests to assess adherence to tax, regulatory, policy, and process requirements across Group Payrolls and recommend corrective actions.
- Perform monthly Payroll-to-GL reconciliations for Kenya Businesses and oversee compliance with reconciliation requirements across International Businesses.
- Proactively manage Group Payrolls risk by ensuring all statutory deductions are reconciled and remitted to the relevant authority within stipulated time.
- Ensure the Bank’s Retirement Schemes are funded in accordance with their respective Pension Scheme Rules.
- Reconcile Group payroll suspense and control accounts to ensure compliance with the Group Suspense Accounts Policy and timely resolution of outstanding items.
- Coordinate with internal IT and payroll system vendors to implement approved Payroll System and Banking interface changes, ensuring appropriate testing, efficiency, and controls.
- Support internal and external audits by providing required payroll data and prepare regular compliance and payroll reports for management decision-making.
- Manage relationships with statutory authorities, payroll system vendors, and other relevant stakeholders on payroll compliance and system matters.
- Maintain updated departmental process maps and risk registers and submit monthly Ethics and Compliance self-assessment reports to Group Risk.
- Ensure all payroll costs are correctly posted to the respective GLs before month end.
- Conduct periodic reviews of payroll system user access to ensure privileges are aligned with the approved role matrix.
Requirements
- Hold a Bachelor’s degree from a recognized university.
- Professional qualifications in accounting, payroll, or tax are an added advantage.
- Possess at least four years’ relevant work experience in a similar sized organization, including specific experience in:
- 4 years in Payroll administration and processing
- 3 years in Payroll compliance, taxation, and statutory requirements
- 3 years of advanced Excel, data manipulation tools, and analysis
- 3 years using Payroll and Finance Systems
- 3 years in Payroll or GL Reconciliation
- 3 years in Stakeholder and Relationship management
- 3 years in Risk and Compliance
- Experience in Labour laws and Employment regulations
- Demonstrate strong analytical skills and attention to detail.
