This internship offers administrative and coordination support to the Compliance department, focusing on maintaining and updating compliance-related trackers, calendars, records, and documentation. The intern will assist with audit and assurance administration, compliance monitoring, and tracking statutory and regulatory compliance. A key aspect of the role involves ensuring all trackers and calendars are up-to-date and proactively following up on any missing or delayed updates. Any identified gaps, inconsistencies, or potential compliance issues must be escalated to the Compliance Manager or Officer for further review and action.
What You Will Do
- Maintain and update audit and assurance calendars, ensuring all planned engagements, milestones, deliverables, and deadlines are accurately recorded.
- Provide administrative and coordination assistance for various audit and assurance engagements, including internal, external, statutory, and donor audits.
- Monitor audit timelines, information requests, deliverables, and deadlines.
- Organize and maintain audit files, reports, management letters, and other relevant documentation within the electronic filing system.
- Assist in preparing audit status updates and reports.
- Offer logistical and administrative support during audit and assurance processes.
- Support the Compliance Manager and Officer in executing compliance monitoring activities.
- Participate in compliance reviews and monitoring tasks as assigned.
- Help collect, organize, and compile necessary information and documentation for compliance reviews.
- Perform initial administrative checks on designated compliance folders to confirm document uploads, naming conventions, and organization.
- Identify and escalate any missing documents, filing gaps, or inconsistencies to the Compliance team.
- Assist in documenting observations, action points, and follow-up requirements under supervision.
- Maintain trackers and calendars for statutory, tax, and other regulatory compliance requirements across all AWF operations.
- Monitor critical filing deadlines, TCC expiry dates, registrations, licenses, and other recurring compliance obligations.
- Support the preparation and distribution of reminders to relevant stakeholders before key deadlines.
- Assist in following up with country offices and relevant functions for required submissions, updates, and supporting documentation.
- Maintain organized records of statutory and regulatory compliance submissions.
- Escalate any overdue, missing, or outstanding compliance matters to the Compliance Manager or Officer.
- Provide administrative support for Compliance meetings and related engagements.
- Prepare meeting materials and record minutes when necessary.
- Maintain action-point trackers and follow up with responsible stakeholders on agreed actions and due dates.
- Keep organized records of compliance meetings, decisions, action points, and correspondence.
- Conduct basic checks between compliance trackers, submitted documents, and information in relevant systems.
- Identify missing information, gaps, inconsistencies, or discrepancies for further review.
- Support the reconciliation and updating of compliance records and trackers based on confirmed information.
- Assist the Compliance Manager and Officer with documentation and other administrative tasks.
- Participate in other compliance, audit, assurance, or monitoring activities as assigned.
- Perform additional duties relevant to the internship role and level.
Requirements
- Hold a Bachelor’s degree in Accounting, Finance, Business Administration, Audit, Risk Management, Governance, or a closely related discipline.
- Possess at least one year of relevant experience in compliance, audit, assurance, risk management, internal controls, finance, or administration (an advantage).
- Demonstrated ability to effectively maintain trackers, calendars, records, and various documentation.
- Exhibit strong integrity, confidentiality, accountability, initiative, teamwork, and a proactive willingness to learn.
- Possess strong attention to detail and accuracy, coupled with excellent organizational and follow-through abilities.
- Have good analytical, communication, and interpersonal skills.
- Be proficient in Microsoft Office applications, especially Excel and Word.
