Job Description
This role involves providing day-to-day coordination and administrative support throughout the AHAIC 2027 conference planning cycle. The Events Associate will collaborate closely with the Events Coordinator, conference workstream leads, the Professional Conference Organizer (PCO), and various internal and external stakeholders. Key responsibilities include maintaining trackers and databases, coordinating meetings and follow-ups, assisting speakers and delegates, and supporting logistical and operational requirements to ensure the timely execution of conference activities. The successful candidate is expected to manage assigned tasks independently, maintain accurate records, follow up on actions, and work collaboratively across multiple teams and stakeholders.
Key Responsibilities
- Support the planning, coordination, and delivery of AHAIC
- Assist with Organizing Committee, workstream, and stakeholder meetings, including scheduling, minute-taking, action tracking, and follow-up.
- Maintain conference workplans, timelines, trackers, databases, and reporting tools to ensure timely project delivery.
- Support speaker management, covering invitations, confirmations, documentation, scheduling, and ongoing communication.
- Assist with coordinating invitations for key conference stakeholders, including managing invitations, tracking RSVPs, and follow-up communications.
- Provide support to VIP delegates throughout the conference, ensuring a seamless experience from registration and correspondence to participation and post-conference engagement.
- Support delegate registration and participant engagement, including responding to inquiries and tracking delegate needs.
- Coordinate with the PCO, vendors, venues, and service providers for assigned event logistics and operational requirements.
- Liaise with ICT and Communications teams regarding registration platforms, event technology, digital tools, website updates, and participant communications.
- Prepare and maintain meeting documentation, reports, briefing materials, event records, evaluations, and post-event reports, ensuring accuracy and timeliness across workstreams.
Requirements
- Bachelor’s degree in Business Administration, Marketing, Communications, International Relations, Public Health, Development Studies, or a related field.
- 1–3 years of experience supporting conferences, events, workshops, stakeholder engagements, or similar programs.
- Demonstrated experience in event administration, logistics coordination, project support, stakeholder engagement, or communications.
- Experience coordinating with multiple stakeholders, vendors, service providers, and internal teams.
- Strong written and verbal communication skills, with keen attention to detail and follow-through.
- Ability to work both independently and collaboratively within multicultural and multidisciplinary teams.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
