Job Description
The Project Admin Assistant plays a crucial role in ensuring Church facilities are well-maintained, providing suitable environments for members to worship, learn, and participate in sacred ordinances. This position involves assisting the Facilities Manager with timely maintenance, repairs, and replacements according to established standards, while also offering administrative support to the facilities management team. It is an individual contributor role focused on providing senior-level support.
Key Responsibilities
- Provide guidance and direction to junior employees through training and mentorship.
- Proactively identify future needs and propose solutions.
- Coordinate project details and follow up on pending tasks to ensure deadlines are met.
- Assist with budget preparation, control activities, and monitoring project or department budgets.
- Conduct research, analyze information, and provide recommendations based on findings.
- Compile complex data from various sources to prepare memos, reports, spreadsheets, and presentations using diverse software.
- Record meeting minutes and manage related documentation.
- Utilize computer applications to schedule meetings, appointments, and manage calendars for multiple leaders.
- Manage assigned leader's email inbox to an agreed level.
- Arrange travel logistics.
- Deliver presentations at meetings.
- Support office resiliency operations and emergency response.
- Plan, organize, and execute large meetings, conferences, and other events.
- Respond to complex telephone and email inquiries.
- Perform other assigned duties.
Requirements
- A minimum of 3 years of relevant experience or progress towards/completion of a relevant university degree or industry certification.
- Demonstrated diverse clerical experience including proficiency in Windows, Microsoft Applications, and the ability to learn new software.
- Strong communication skills, including professional phone etiquette and effective business writing.
- Basic business accounting knowledge, including understanding invoices, purchase orders, and contracts.
- Excellent organizational skills, including filing, scheduling, time management, and prioritization.
- Ability to communicate effectively and courteously with all individuals, including leaders, managers, colleagues, and vendors.
- Strong customer-oriented, results-oriented, adaptability, and flexibility skills.
- Experience in account and payment management.
- Results-oriented performance and flexibility to adapt to various situations.
- Preferred: A recognized university degree, directly related experience, and applicable industry certifications.
- Preferred: Capacity to communicate in English for training and and calls (not necessarily fluent).
- Preferred: Power BI abilities to support facility manager group management.
- Preferred: Proven knowledge of accounting and local tax systems.
