Legal Action Worldwide (LAW) is an independent non-profit organization dedicated to ensuring access to justice for victims of human rights violations and international crimes. They operate in conflict-affected regions, offering survivor-centred support, building community capacity, and strengthening justice institutions. The Nairobi office manages programs across Somalia, Ethiopia, Sudan, and South Sudan, serving as a strategic hub for partnerships and human rights advocacy. The Finance Coordinator will be based in the Nairobi office, working full-time for 12 months with potential for extension. This position is crucial for ensuring LAW consistently produces high-quality master budgets, financial reports, monthly banking reconciliations, and timely audits.
Key Responsibilities
- Process all transactions accurately and promptly using LAW’s financial accounting software.
- Prepare and upload banking payments for approval.
- Prepare monthly cash calls and quarterly forecasts for disbursements and spending.
- Allocate administrative costs to each grant on a quarterly basis.
- Implement and monitor financial controls, including bank and petty cash reconciliations, for Programme Manager approval.
- Collaborate with the Geneva Finance team to ensure accurate transaction allocation and provide monthly intercompany account reconciliations.
- Collate and process all invoices related to specific grants, ensuring timely payment.
- Lead local grant audits in Kenya.
- Support the Geneva Finance team in preparing the yearly statutory audit.
- Review monthly payroll and ensure timely salary payments.
- Provide monthly exchange rates for registration in LAW’s financial accounting software.
- Prepare the yearly fixed costs budget in collaboration with the Programme Manager.
- Ensure compliance with LAW policies, accounting principles, and donor regulations for finance and procurement.
- Provide accurate and up-to-date financial information, including monthly budget follow-ups and spending plans for all grants.
- Prepare any necessary amendments to grant budgets.
- Support the Programme Manager in preparing budgets for new grant proposals.
- Ensure optimal allocation of expenses in line with approved budgets and projected expenditures.
- Maintain financial archives according to LAW’s internal policy and donor requirements.
- Draft and prepare funding requests and financial reports for donors.
- Support the preparation and management of internal and external audits as per donor policies.
- Coordinate and serve as a focal point for partners and implementing partners, providing training as needed.
- Review all financial reports from partners and ensure archiving of all supporting documents.
- Prepare advance payments to partners as required.
Requirements
- Possess the legal right to work in Kenya.
- Hold a Bachelor's degree in Finance, Accounting, Commerce, Business Management, or a related field.
- Possess a Certified Public Accountant of Kenya (CPA-K) qualification or an equivalent professional accounting certification (ACCA, CIMA, CPA).
- Have a minimum of five years of demonstrated experience in a similar position within an International Non-Governmental Organization (INGO).
- Strong knowledge of Kenyan statutory and tax requirements, including PAYE, VAT, Withholding Tax, NSSF, SHIF/SHA, and other regulatory obligations.
- Excellent written and oral communication skills in English.
- Advanced knowledge and demonstrated experience with Microsoft Excel.
- Proven track record and experience with donor frameworks such as NORAD, US, FCDO, EU, UN agencies, or other institutional donors.
- Experience with financial management systems like Microsoft Dynamics 365 Business Central, Navision, or similar enterprise accounting software.
- Flexibility and ability to perform under pressure and meet conflicting tight deadlines.
- Ability to communicate complex technical financial matters to a wide range of stakeholders, including those not versed in financial management.
- Creative and analytical thinker with strong problem-solving skills.
- Excellent organizational skills, including the ability to effectively coordinate multiple projects in a fast-paced environment and troubleshoot effectively.
