Internship Description
This internship offers an opportunity to gain practical experience by providing comprehensive administrative support to the People and Culture Unit. The intern will assist in various human resources and administrative functions, contributing to the smooth day-to-day operations and overall efficiency of the unit.
What You Will Do
- Support the entire recruitment process, including obtaining approvals, drafting and publishing job adverts, screening applications, coordinating interviews, and communicating with candidates.
- Maintain recruitment records and provide logistical support for recruitment activities.
- Assist with staff onboarding and induction by providing new employees with necessary information, documentation, and guidance.
- Ensure the integrity, confidentiality, and accuracy of HR records by regularly updating, labelling, organizing, scanning, and storing staff and recruitment files in both physical and electronic systems like M-Files.
- Perform data entry and update HR and administrative records to ensure data accuracy.
- Assist in preparing HR reports, dashboards, and presentations using tools such as JetHub and Qlik, contributing to HR process improvement and automation initiatives.
- Support audit activities by ensuring HR records are accurate, complete, up-to-date, and readily accessible.
- Draft, distribute, and communicate staff-related documents, letters, and other administrative correspondence as required.
- Respond to employee queries within established service standards and escalate complex issues when necessary.
- Support the administration and management of the Volunteer Physician Programme.
- Assist with AMREF Flying Doctors' culture initiatives and all other employee engagement projects.
- Support the management of office communication and correspondence, including receiving, distributing, and filing incoming and outgoing documents.
- Assist with managing crew card validity and renewals to ensure compliance and operational readiness.
- Help manage stationery, including monitoring stock levels and coordinating issuance and replenishment.
- Provide general administrative and operational support to the HR department and undertake any other assigned work-related duties.
Requirements
- Bachelor’s Degree in Human Resource Management, Business Administration, Social Sciences, or a related field.
- Good communication skills, both written and oral.
- Strong interpersonal skills.
- Ability to maintain confidentiality and integrity.
- Demonstrated tact and discretion when dealing with people.
- A team player with a flexible and reliable approach.
- Ability to be organized and proactive.
- Capability to work effectively in and with a dynamic team.
- Proficiency in computer studies, particularly Microsoft Office applications.
