The HUCAA Alumni Association (HUCAA) is the alumni body of Hekima University College, which was founded in 1984 as a school of theology by the Major Superiors of the Society of Jesus in Africa and Madagascar.
Job Description
The HUCAA Alumni Association (HUCAA) is looking for a proactive and dedicated Admin Assistant to handle various administrative tasks, facilitate communication both internally and externally, and manage the logistics for the association's events and operations. This pivotal role acts as the primary point of contact between the association's members, partners, and its governing bodies, ensuring smooth operations and effective engagement.
Key Responsibilities
- Manage all correspondence, including emails, official letters, and WhatsApp communications.
- Draft administrative documents and internal communications for the association.
- Maintain and regularly update the association’s membership database.
- Ensure compliance with statutory and audit requirements.
- Provide regular support to the Hekima University College Administration.
- Act as the main interface for alumni, friends, partners, and stakeholders.
- Facilitate the smooth flow of information within the network.
- Respond to all internal and external inquiries promptly.
- Contribute to enhancing the visibility and representation of the association.
- Manage membership registrations efficiently.
- Assist in coordinating and planning various events such as meetings, conferences, and gatherings.
- Handle all logistical aspects, including bookings, materials, and participant reception.
- Ensure the operational follow-up of all activities.
- Oversee the successful execution of organized events.
Requirements
- Must be familiar with Hekima University College (HUC) and preferably an alumnus (certificate or degree program) or have a past formal association with HUC or HUCAA.
- Possess excellent writing skills in English; proficiency in additional languages is an advantage.
- Have a good command of office tools, including Word, Excel, and email.
- Proficient in using Canva for design tasks.
- Proficient in using WhatsApp and social media platforms such as Instagram, Facebook, and LinkedIn.
- Demonstrate strong organizational skills and the ability to manage multiple priorities effectively.
- Exhibit excellent communication and interpersonal skills.
- Capable of working both independently and collaboratively as part of a team.
- Possess a proactive mindset and a strong sense of responsibility.
- Have skills in logistics and event management.
- Experience in an association or similar organization is an asset.
- Knowledge of digital communication tools is an asset.
- Experience in project coordination is an asset.
- Display a strong sense of rigor and professionalism.
- Be available and responsive to needs.
- Maintain discretion and respect confidentiality.
- Show commitment to the values of HUCAA and HUC.
