The Human Resource Business Support Coordinator at Population Services Kenya is responsible for coordinating and supporting essential HR functions. This includes managing recruitment and onboarding processes, maintaining employee records, overseeing performance management, facilitating learning and development initiatives, administering the HRIS, supporting employee welfare programs, assisting with payroll, and ensuring HR compliance. The role demands strong organizational abilities, strict confidentiality, and the capacity to manage multiple priorities effectively while delivering high-quality HR services.
Key Responsibilities
- Coordinate recruitment processes, including preparing appointment letters and contracts, and ensuring all documentation is complete and filed according to HR policies.
- Oversee employee onboarding and induction programs to facilitate a smooth transition for new hires, including training staff on HR systems and performance management.
- Support organizational learning and development by assisting with annual performance improvement plans and coordinating employee participation in training.
- Organize internal and external training activities, liaising with trainers, managing logistics like travel and accommodation, and preparing training bonds for sponsored employees.
- Manage training reimbursement processes by lodging and following up on NITA claims for timely fund recovery.
- Administer HRIS functions, including employee self-service, leave, recruitment, and performance modules, providing adequate system support to staff.
- Maintain accurate employee records and HR data, collaborating with payroll to ensure staff changes are correctly updated for processing and monthly HR reports.
- Support employee relations and disciplinary processes by transcribing hearings, maintaining case records, and monitoring ongoing disciplinary and court matters.
- Coordinate performance management activities, ensuring Performance and Learning Forms are completed and submitted by all contracted staff within deadlines.
- Manage employee welfare administration, including coordinating medical scheme meetings, handling urgent medical issues, and overseeing provident fund, gratuity, and final dues processing.
- Coordinate HR administrative functions, drafting staff correspondence such as contract modifications, acting appointments, salary increment, and bonus letters, ensuring timely and accurate delivery.
- Oversee HR compliance and documentation, tracking contract renewals, guiding staff through exit and clearance, supporting HR reporting and risk planning, and maintaining an efficient documentation system.
Requirements
- Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
- CHRP-K Finalist qualification.
- Minimum of 3 years of experience in a similar HR generalist or HR operations role.
- Proficiency in using AI tools is an advantage.
- Excellent organizational and administrative skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential information with integrity.
- Strong communication and interpersonal skills.
