Job Description
The Administrator for Maintenance and Transport at Strathmore University is responsible for supporting the effective oversight of facilities and transport services. This involves managing data, tracking assets, generating reports, and coordinating administrative tasks to ensure operations are compliant, efficient, and aligned with sustainability goals. The role focuses on maintaining accurate records and providing essential support for the smooth functioning of the university's infrastructure and transportation systems.
Key Responsibilities
- Manage institutional keys, including automation, audits, allocation monitoring, and clearance processes.
- Develop, update, and maintain an online asset database for furniture and fittings in offices and lecture rooms.
- Collect, clean, analyze, and interpret data related to transport systems, energy consumption, water usage, and fuel to support sustainability and operational reporting.
- Follow up on insurance claims and liaise with relevant government bodies to ensure compliance and timely resolution.
- Provide administrative support for transport operations, including managing Little Cab additions and the CRS system.
- Assist with uploading and processing transport and maintenance invoices.
- Support report writing, documentation, and preparation of operational and management reports.
- Maintain accurate data filing, recording, and management systems.
- Ensure Occupational Health and Safety compliance and follow up on key recommendations.
- Organize and manage events in liaison with the events protocol office.
- Assist in policy and process reviews.
- Perform other assigned duties to support facilities and operations.
Requirements
- Bachelor’s degree in Facilities Management, Business Administration, Data Management, or a related field.
- At least two years of work experience in administrative roles.
- Strong data management and analytical skills.
- Proficiency in MS Excel and database systems.
- Good report-writing and documentation skills.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks.
- Ability to work collaboratively and support cross-functional teams.
