Job Description

The Human Capital Executive will be responsible for managing and executing all employee relations initiatives within Harleys Limited, ensuring a positive, compliant, and engaging workplace. Key aspects of the role include overseeing employee contracts, probation, and confirmation processes, as well as managing disciplinary actions and grievance procedures. The executive will also be responsible for coordinating employee welfare and engagement activities, and handling exit processes. A crucial part of this role is to embed Harleys’ values and culture into daily practices. Additionally, the position provides operational HR advisory and support to both employees and line managers, ensuring strict compliance with Kenyan labour laws, promoting fair treatment of all staff, and continuously working towards improving employee relations processes.

Key Responsibilities

  1. Coordinate employee engagement surveys, develop action plans, and promote company values in workplace practices.
  2. Partner with managers to foster an inclusive environment and support the Welfare Committee in delivering employee welfare initiatives.
  3. Ensure smooth delivery of welfare programs and respond to staff queries regarding medical and pension matters.
  4. Coordinate with the Compensation & Benefits team on claims and renewals, and collaborate with Health & Safety teams on compliance.
  5. Guide managers on handling disciplinary and grievance cases, facilitate hearings, and resolve cases.
  6. Support ongoing legal cases by providing necessary documentation and act as the primary contact for employee relations concerns.
  7. Manage probationary reviews, confirmations, contract renewals, and non-renewals, ensuring accurate records and timely payroll updates.
  8. Provide HR/ER advisory to staff and managers on policies, labour laws, and best practices.
  9. Address internal queries and recommend process improvements.
  10. Promote consistent usage of the Employee Self-Service (ESS) module, provide staff training, and troubleshoot system issues.
  11. Support the review and updating of Human Capital policies, ensure compliance with Kenyan labour laws, and communicate policy changes.
  12. Guide staff on policy application and interpretation.
  13. Participate in ER-related projects, audits, culture-building programs, and change initiatives like "Great Place to Work" and Service Excellence.
  14. Prepare timely ER dashboards and reports on cases, grievances, engagement, welfare, and exits, offering insights and recommendations while maintaining confidentiality.

Requirements

  1. Bachelor’s Degree in Human Resource Management, Industrial Relations, Law, or a related field.
  2. CHRP certification and active IHRM membership are mandatory.
  3. Minimum of 5 years of experience in HR, with a strong emphasis on employee relations, engagement, and disciplinary management.
  4. Solid understanding of Kenyan labour laws, regulations, and best HR practices.
  5. Proven experience in managing employee engagement surveys and welfare activities.
  6. Strong interpersonal, advisory, and conflict resolution skills, with the ability to build trust and influence across all organizational levels.
  7. Proficiency in HRIS systems, including employee self-service modules.
  8. Demonstrated high level of integrity, confidentiality, and professionalism.
  9. Strong reporting and analytical skills to facilitate data-driven decision-making.
