Transport Co-Ordinator

Avenue Healthcare is a healthcare provider founded in 1976. Based in Nairobi, Kenya, the company operates in the Healthcare & Pharmaceuticals sector.

This role involves overseeing and managing all hospital transport operations, including emergency and ambulance services, ensuring 24/7 readiness and swift response. The coordinator will also supervise outsourced courier services, manage the dispatch desk for efficient coordination of transport requests, and ensure timely service for patient and document transport. Key aspects include overseeing vehicle maintenance, conducting safety training, managing the departmental budget, monitoring fuel consumption, and ensuring compliance with all regulatory standards and internal procedures.

1. Oversee and manage all hospital transport operations, including emergency and ambulance services, ensuring 24/7 readiness and swift response times.
2. Supervise outsourced courier services to maintain consistent quality and efficiency.
3. Manage the dispatch desk for efficient coordination of transport requests, vehicle allocation, and timely service for patient and document transport.
4. Oversee routine maintenance and servicing of all transport vehicles and motorbikes, ensuring high uptime and reliability.
5. Conduct regular training sessions focused on safety, patient handling, and emergency protocols.
6. Ensure the department operates according to Avenue’s established procedures and protocols.
7. Develop and manage the transport department budget, tracking expenses, and identifying cost-effective solutions.
8. Monitor fuel consumption, vehicle usage, and cost trends to optimize resources and allocate budgets effectively.
9. Ensure all vehicles are fully equipped, stocked, and maintained to the highest safety standards.
10. Organize the renewal of all road licenses and insurance before expiry.
11. Establish and maintain service level agreements (SLAs) and address any service issues promptly.
12. Uphold high standards for transport operations, ensuring compliance with healthcare regulations and safety protocols.
13. Work closely with Quality and Compliance teams to maintain regulatory standards across all transport services.
14. Ensure all logbooks, including mileage and trip records, are completed by each driver.
15. Ensure drivers receive copies of approved transport requisition forms for staff transport requests and carry only authorized passengers.
16. Monitor fuel consumption and ensure any discrepancies (drastic increase or reduction) per vehicle are explained.
17. Ensure all incidents, such as delays, mechanical problems, or accidents, are immediately reported, and take appropriate action to rectify or solve the problem.
18. Monitor vehicle use, especially at night and on weekends, using the Fleet Tracking system, and address any misuse or suspected misuse immediately per laid out procedures.
19. Always maintain client and patient privacy and confidentiality.
20. Perform any other duties as assigned by the supervisor in line with the job description.

1. Hold a Diploma or Bachelor’s Degree in Paramedic Science.
2. Possess a valid driver’s License, C1 and above.
3. Have a minimum of 2 years of experience in transport/logistics management, with at least 1 year in a healthcare or high-priority setting.
4. Demonstrate strong interpersonal and communication skills.
5. Exhibit attention to detail.
