Internship Description

This internship role involves supporting the Institution of Engineers of Kenya's secretariat by serving as a primary point of contact for Convention-related inquiries. Interns will be responsible for engaging with both prospective and registered delegates, providing comprehensive and accurate information regarding registration, program details, accommodation, and participation requirements. The goal is to ensure a smooth and well-informed experience for all delegates throughout the registration journey.

What You Will Do

  1. Respond promptly and professionally to inquiries received via telephone, WhatsApp, and other Convention communication channels.
  2. Provide precise information concerning Convention registration fees, program schedules, accommodation options, and other logistical details.
  3. Follow up with potential delegates to encourage their registration and participation in the Convention.
  4. Contact registered delegates to confirm their attendance and resolve any outstanding requirements.
  5. Support the confirmation of registrations and maintain accurate, up-to-date records of all delegates.
  6. Assist in updating the Convention database to ensure delegate information is correctly captured.
  7. Escalate complex inquiries or issues to the appropriate Convention team members for resolution.
  8. Maintain a professional and courteous demeanor when interacting with delegates, members, partners, and other stakeholders.
  9. Provide support for other Convention-related activities as assigned.

Requirements

  1. Possess excellent verbal and written communication abilities.
  2. Demonstrate strong customer service and interpersonal skills.
  3. Exhibit good telephone etiquette and active listening capabilities.
  4. Show keen attention to detail and accuracy in data entry tasks.
  5. Have the ability to follow up consistently and professionally.
  6. Possess good organizational and time-management skills.
  7. Proficiency in Microsoft Office and familiarity with databases is an advantage.
  8. Capable of working effectively within a busy, team-oriented environment.
  9. Hold a Bachelor's Degree.
