Job Description

The Procurement Associate at Strathmore University is responsible for delivering efficient operational support within the procurement department. This involves ensuring that all users receive high-quality and timely procurement services, contributing to the overall effectiveness of the university's purchasing functions.

Key Responsibilities

  1. Place and follow up on allocated orders for local procurement, adhering to established policies and procedures.
  2. Undertake research into best practices for contract management and adopt approved practices into the contract management process.
  3. Collaborate with suppliers to ensure the timely delivery of ordered materials and products.
  4. Liaise with other stakeholders to ensure timely inspection of delivered goods, confirming quality and conformance to order specifications.
  5. Conduct contractual monitoring to provide assurance of service delivery in line with strategic and contractual agreements, reporting on compliance and performance.
  6. Process all orders from user units in the system, ensuring all Local Purchase Orders (LPOs) are generated and issued promptly.
  7. Check purchase orders for accuracy, completeness, and clarity, verifying product and shipping information, costs, and delivery dates are correct before obtaining authorization to place an order.

Requirements

  1. Bachelor’s Degree in Purchasing and Supplies or any other related field from a recognized institution.
  2. A professional qualification in Supplies Management will be considered an added advantage.
  3. At least 1 year of experience in Procurement.
  4. Demonstrated ability to independently resolve complex problems in a timely manner.
  5. Ability to draft, write, and negotiate vendor contracts and agreements.
  6. Outstanding written and verbal communication skills.
  7. Strong planning and organizational skills.
  8. Good interpersonal skills.
  9. Negotiating skills.
  10. High level of integrity.
